Seminary Hill Vendor Guidelines

All vendors who are contracted to work for Seminary Hill must adhere to the set of standards and policies listed below. Set standards help ensure that our mutual client is experiencing top level service from all contracted vendors throughout their wedding weekend. Failure to comply with these policies will jeopardize any vendor's ability to work at Seminary Hill agin in the future and may also jeopardize the mutual client's security deposit. We reserve the right to refuse access to any vendor who does not meet our standards or respect our policies. 

Arrival Procedures

  • Vendors can unload, in the main parking area or on the tent gravel pathway, they can then park in parking lot behind the cidery building 

  • Set up must be complete 30 minutes prior to the event 

Cleanup

  • If your service creates trash or boxes, you are required to take them with you when you leave 

  • Vendors are responsible for cleaning up their own mess after they have completed their setup 

  • If you intend on picking up items left here after the event you must notify the Seminary Team, all items are discarded otherwise

Other

  • No alcoholic beverages allowed before, during or after the wedding. 

  • No smoking or vaping on the property unless it is in the designated smoke area (behind the cook tents / catering trailer outdoors) 

Florist

  • If you are leaving structural/decorative items at Seminary Hill to pick up later please notify the event coordinator before leaving the building. Seminary Hill is not responsible for lost or damaged items.

  • Fasteners: No nails, screws, tacks, tape, glue or any other items that damages/stains paint, wood, glass, metal, vinyl, fabric, brick or stone

  • Candles are allowed if they are in an enclosed container, tapered candles must have glass around them and a watch catch tray 

Cakes/Desserts

  • If you are leaving structural/decorative items at Seminary Hill to pick up later please notify the event coordinator before leaving the building. Seminary Hill is not responsible for lost or damaged items. Please leave cake boxes for top and extra cake under the cake table and let the event coordinator know.

Disc Jockeys/Bands  

  • No music past 9pm. Seminary Hill uses the right to unplug the equipment if the music runs past 9pm.

  • Must be positioned on an angle near the electric panel

    INSTRUCTIONS FOR WEDDING DJs

    1. Confirm the following settings on the cardioid subwoofer provided by the Cidery: (CROSSOVERS mode: 100 Hz, DEEP mode: OFF, CARDIOID mode: FORWARD)

    2. Connect your audio mixer left and right outputs to the cardioid subwoofer’s “LINE IN” connectors. Connect your mixer left output to “A IN” and the mixer right output to “B IN”. The input receptacles accept balanced signals from male XLR cables or ¼” TRS cables. It is also possible to connect unbalanced TS cables, but this may cause unwanted system noise.

    3. Connect the cardioid subwoofer outputs (female XLR) to two main powered loudspeakers or to the inputs on a power amplifier.

    4. It is imperative that all audio signals pass through the cardioid subwoofer before being sent to main loudspeakers. This is because the cardioid subwoofer contains an internal crossover that ensures that low-frequency sound is reproduced by only the subwoofer and not by other loudspeakers. Do not connect your mixer outputs directly to power amplifiers or main loudspeakers. Do not connect an auxiliary output to the subwoofer and feed main loudspeakers with separate connections. The use of other subwoofers is not permitted.

    5. Be aware that low-frequency (i.e. bass) sound levels will be significantly quieter behind the subwoofer (the side with the wheels) than in front of it, where the wedding guests will be. Listen to output levels on the dance floor and adjust levels as required. Then note your low-frequency output settings and do not adjust further based on what you hear at the mixer. Master fader settings may be increased as long as low frequency settings are then decreased by the same amount. Monitoring the mix with headphones may assist with this challenging situation.

    6. Do not move or re-orient the subwoofer without approval from the Cidery.

      INSTRUCTIONS FOR LIVE BANDS

    7. Confirm the following settings on the cardioid subwoofer provided by the Cidery: (CROSSOVERS mode: 100 Hz, DEEP mode: OFF, CARDIOID mode: FORWARD)

    10. Avoid the use of other audio output devices to the extent feasible. These include stage monitors and amplifier cabinets for bass/guitar/keyboard. Utilize the loudspeaker system for as many instruments as possible rather than just vocals. Any stage monitors should be equalized to reduce sound levels at and below 100 Hz. Connect electric basses, keyboard, etc. to DI boxes owned by Seminary Hill and feed the signals to your mixing console. In-ear monitoring systems are the preferred monitoring solution. If in-ear monitoring is not available, use the “THRU” output on the DI boxes to connect to bass and keyboard amplifier cabinets; set these cabinets close to the performers and use the cabinets only as monitors with levels set as low as feasible, rather than using the amplifier cabinets to project sound to wedding guests. The use of guitar amplifier cabinets will be necessary to achieve typical guitar audio characteristics, but this is not as great of a concern since guitars do not generate the low-frequency sounds of concern. The use of other subwoofers is not permitted.

    11. It is imperative that all audio signals leaving your audio mixer pass through the cardioid subwoofer before being sent to main loudspeakers. This is because the cardioid subwoofer contains an internal crossover that ensures that low-frequency sound is reproduced by only the subwoofer and not by other loudspeakers. Do not connect your mixer outputs directly to power amplifiers or main loudspeakers. Do not connect an auxiliary output to the subwoofer and feed main loudspeakers with separate connections.

    12. Be aware that low-frequency (i.e. bass) sound levels will be significantly quieter behind (the side with the wheels) the subwoofer than in front of it, where the wedding guests will be.     13. Avoid reinforcing acoustic drum kits and other percussion instruments with microphones if feasible. If reinforcement is needed, do not mic the bass drum, floor tom, and other percussive instruments capable of producing low frequencies. Limit microphones to overheads and snare drum if possible.

    14. Do not move or re-orient the subwoofer without approval from the Cidery.
